This privacy policy explains which data is processed when using the BetterLocale Doc app, for what purposes, and what rights you have.

1. Purpose of the app

BetterLocale Doc is a macOS app for creating, editing, rewriting, and translating text. The app combines a text editor with optional AI-powered features for language refinement, style adjustments, and translation. The core functionality works completely locally on your device.

2. What data is processed

2.1 No automatic collection of personal data

The app does not automatically collect or process personal data such as name, address, phone number, email address, or similar identifiers. Texts you enter or edit can still contain personal information if you include it intentionally or unintentionally. You are solely responsible for such content.

2.2 Local text and project data

All texts, drafts, templates, and projects you create or edit in BetterLocale Doc are stored locally in the app container on your Mac. As long as you do not use AI features, there is no automatic sync and no transfer of this data to servers operated by the app provider or to third parties.

2.3 API keys for AI providers

If you want to use optional AI features, you can store your own API keys for external providers in the app. These keys are stored exclusively locally on your device in the protected macOS Keychain. The app provider does not receive your keys.

3. Data transfer to third parties

3.1 No transfer without AI usage

As long as you do not use AI features, no text or project data is transferred to third parties. The app provider has no access to your locally stored content at any time.

3.2 Optional AI features and external providers

BetterLocale Doc optionally supports external AI services for text editing and translation. Depending on your configuration, services such as OpenAI, xAI (Grok), Anthropic (Claude), Google (Gemini), DeepL, or Perplexity AI may be used. When you actively use such a feature, the app connects to the selected provider and transfers only the data required for that request. This includes your prompt/instructions and the text (or text section) you selected for editing or translation. Other app content, system information, or device data is not transferred.

Please do not transmit sensitive or confidential information. If you send personal data to an external AI provider, you are responsible for ensuring this is legally permissible.

4. Processing outside the EU/EEA

Depending on the AI provider, data processing may take place outside the European Union or the European Economic Area. For details on retention periods, training usage, subcontractors, and opt-out options, the privacy policies of the selected provider apply.

5. Legal basis for processing

Local processing of texts and projects is done to provide app functionality and may be based on Art. 6(1)(b) GDPR where applicable. Data transfer to external AI providers happens only on your request when you actively use the feature and may be based on Art. 6(1)(a) GDPR or alternatively Art. 6(1)(b) GDPR.

6. Retention and deletion

Texts and projects remain stored on your device until you delete them in the app or uninstall the app. You can remove stored API keys at any time in the app settings. When uninstalling the app, app data is removed via standard macOS mechanisms.

7. Data security

The app stores all data in the protected macOS app container. API keys are secured via the Apple Keychain. Communication with external AI providers uses encrypted HTTPS connections.

8. Your rights

If personal data is processed in connection with app usage, you have rights under the GDPR, including access, rectification, deletion, restriction of processing, data portability, and objection. Since the app does not use provider servers unless you use AI features and stores data locally, you can practically exercise many rights by deleting content or uninstalling the app. For processing by external AI providers, their privacy policies and contact options apply.
